Custom furniture procurement can go wrong even when the style photo looks right. A buyer needs a measured room brief, an approved dimensioned drawing, named materials and a packing plan that fits the delivery route. This checklist shows what to request at each approval point for a table, dining chair or sofa enquiry.

1. Turn the room into a measurable brief

Give the supplier the intended furniture position, room length and width, fixed obstacles and door swings. Measure the narrowest doorway, corridor turn, lift and staircase along the delivery route. State the number of seats and whether the furniture must be moved often. A photo alone cannot show clearances. 2. Approve a drawing with usable dimensions

Request a dated top view and side view that name all outside dimensions and the intended units. For a table, check underside height, base footprint and between-leg space. For a dining chair, confirm overall width, depth, seat height, armrest if any and how it meets the table. For a sofa, confirm overall width, seat depth, cushion construction and module dimensions. 3. Name the material rather than approving a screen color

Provide a color and finish reference, then request the precise material name and relevant care information. For upholstery, ask whether the quoted surface is fabric, PU leather or another specified material, and request a swatch or sample when tactile feel or color matching is critical. A screen image does not establish composition or an exact shade. Record any metal, wood, stone-look or other finish separately from the upholstery.

4. Keep a single approved version for production

Attach the signed drawing, material reference, quantity and finish schedule to the purchase order. If a leg position, seam, finish or dimension changes, request a revised drawing and written price and schedule impact before approval. Agree what should be inspected and which images or measurements will document the finished item. This is a suggested approval practice, not a claim that a given inspection or sample is included in every quote.

5. Confirm how the piece will arrive

A table top or sofa module may need a different delivery route from its assembled footprint. Ask whether the item ships assembled, flat-packed or in split components, and whether installation is included. Request a package or crate list with outside dimensions, gross weight, protection method and handling notes for the selected order. Confirm trade terms, destination, freight method and any import documents in the quotation. Do not infer shipping cost from the furniture’s room dimensions.
